If you’re not happy with your sales and marketing for your business right now, look at what makes you really happy. Is it your clients? Is it something you can do for them? Helping them reach a goal? What kind of content do you love creating? Start there!

I bet this sounds familiar. Back when I started my VA business, I decided to charge an hourly rate a little lower than the 9-5 job I had just left. Honest to God, my thought process was that I was greedy to charge more because I was so blessed to be able to work from home and save on daycare expenses.

There were a few problems with that logic. It didn’t account for:

Overhead
Taxes
Guaranteed hours
Fees for job sites
The market value for my skills

Your job as an online business owner is to show the value in what you do. From there, take inventory of your skills, experience, investments, and your research to set a rate that pays you what you’re worth.

Building a Business Without a Support System with Mary

Mary was laid off from her corporate job during the C19 pandemic and decided to open her own wedding and event venue with her mother and two friends. She was drawn to the virtual assistant (VA) world after seeing Jessica Hawk's TikTok and decided to launch her own VA business in October 2021, and her background in graphic design helped her to succeed in her venture.

Mary knew she wanted to invest in her business, but wasn't sure how to go about it. She found me in mid-November and didn't require much convincing. Mary was doing all the things in her business, but wasn't getting the results. She knew her niche was wedding professionals because of the venue, and she knew their fears, pains, and goals. The obstacle she faced was not having a support system.

Mary shares her experience of her now ex-husband not being supportive when she lost her job and started a business, which caused her to not put in her best effort. Her husband was also constantly in her ear about the investment she had made and not seeing results quickly. This conversation was a reminder that having the support of a partner is essential when starting a business.

Mary went through RSA and Scale to Summit with me and is now one of my co-coaches. I’m so proud of how far she has come, even when she didn’t have the support she needed starting out.

In middle and high school, I was picked on mercilessly by my classmates. I had gotten a horrible haircut that made my already somewhat large nose much more obvious. They had awful nicknames for me, and I learned how to grow a thick skin. That served me well in the military, but it also inspired me to teach my kids to do better.

Everything we do has a ripple effect to everyone around us. We’re not all made to hold the same job for 30 years, and as a society we need those. If that’s not you, set aside your fears of being made fun of, or the fear of failing, and think not only about your own life but the lives of others that will be impacted positively when you get out of your own way.

Showing Up No Matter What

Loss and Resilience

CONTENT NOTE: In this episode I will talk about loss, specifically miscarriage. It’s a difficult topic for sure, but the experience was a very important element to how I’ve gotten where I am today.

I had never planned to get pregnant at 22. Looking back now, I was just a baby myself. Regardless, after that I had everything planned out. My then-husband and I decided to wait until I had finished my degree to try for another baby and I had it planned to the day when I would get pregnant so that I wasn’t huge in the summer, and all the planning worked - I got pregnant!

As you might have guessed, I miscarried soon after. It was very early, but it was one of the hardest things I’ve ever had to deal with. The anger, depression, shame, and guilt that I carried from that made my next pregnancy miserable.

Looking back, I still don’t understand why things had to happen that way, but I know that God does not make mistakes. He has a bigger plan for me and in order for me to get to where I am, there were a lot of difficult things I had to get through.

At some point in our lives, we all experience loss, whether it's the loss of a loved one, a job, a relationship, or even a sense of identity. It can be a difficult and painful experience that can leave us feeling lost, overwhelmed, and unsure of how to move forward. But with resilience, we can overcome these challenges and find a way to move forward with hope and positivity.

Envisioning the Finish Line

A very common mistake I see in marketing and messaging is giving waaaaaaay too much information. People who are asking questions don’t need a wall of word vomit - that’ll get you ghosted. You don’t need to jam-pack your modules just to prove that you are a wealth of information because you will overwhelm them.

Do your market research! Learn who your people are, what they need, and how they want to be talked to. Don’t try to be a jack of all trades, or try to learn all the things without implementation.

When you’re creating your offer, think of what will work for the majority of your ideal clients. There will be exceptions and tweaks, but that’s what the one-on-one calls are for. That’s where the magic happens anyway.

All of this comes down to having the confidence that you can handle this. You don’t have to prove yourself to anyone. Be open to learning new things, and implement them. Check in on your mindset and envision yourself taking believable action, and really believe in it. The energy radiating from you will radiate to your potential clients and they’ll believe in you too.

It Can Be Lonely at the Top

As you climb the ladder of success, and as you progress in the personal growth required to grow your business, people who don’t understand will fall away. That doesn’t mean that relationships will be imploding left and right, but as you release the people pleasing and get better with setting boundaries, it will become clear who your people are.

As I get more comfortable with speaking my mind, I’ve had to get used to a much smaller circle of people, but the friends I do have are 100% in my corner. I think that when I share about my business and the success I’ve had, sometimes people don’t know how to react. They might have their own money mindset issues coming up, or even some jealousy.

Surround yourself with like-minded people and keep your circle small and supportive. If you need to unfollow or unfriend people that are making you feel bad about yourself, that’s okay.

My First Haters

I grew up in a small town, which I love. However, in a small town, everyone knows everyone and their business. When I started sharing about my success with my business, some small town haters that I went to school with came out of the woodwork and really showed their true colors. Unfortunately, that included some people that I had been really close with, and that hurt.

While my haters were busy bashing “pyramid schemes,” (which had nothing to do with my business anyway), I was developing myself, my business, and paying my own bills. My tax returns are not their business, because they’re not paying my bills.

At the end of the day, there will always be haters, but you don’t have to pay attention to them. When you’re confident enough in yourself, you don’t need to hold it against them. They’re not necessarily bad people - they’re just not your people.

I Can Overcome Anything

In this episode I’ll look back at 17 year old Jade who joined the military, left home, got married at 18, then divorced by 20 and had to start over with absolutely nothing. At the time, I didn’t know what a disaster my first marriage would be. There were all types of abuse and when we divorced, I was left with no money, no home, no car, and very few clothes. My parents did help make sure I had the essentials, but they didn’t bail me out and I’m actually grateful for that. Having to pull myself up from nothing taught me that it’s possible. I learned how to manage money and how to be independent.

It was the hardest lesson I’ve ever had to learn, but I know 1000% that I wouldn’t be where I am if I hadn’t been through that. I can overcome anything, and so can you.

Bouncing Back From Rock Bottom

After I gave my marriage one more year and hired my VA coach, my business took off and I was able to finish with a 6 figure year. At the same time, I was in the process of leaving my husband and avoiding my depression by diving into work. I later signed up for Voxer access with a coach that had no idea where my business was and convinced me that building passive offers was the answer - and it wasn’t.

I hit rock bottom for a second time. I wasn’t showing up the way I had been before, I was taking advice that didn’t fit, and I was getting desperate. Luckily, I found another coach whose free advice landed me new clients, so I dropped the coach on Voxer and signed up with him. I went from living on credit cards to finish with another 6 figure year, even after a dismal first and second quarter.

Yes, I hit rock bottom, but I didn’t stay there. I looked back at what worked the first time: investing in myself. It paid off! If I hadn’t gone through all that hardship, I wouldn’t have had the amount of success that I’ve had. It made me tougher and stronger and showed myself what I was made of.

My marriage was never a good one. I stayed in it for 10 long years, suffering through a miscarriage, abuse, and alcoholism. I became convinced that I was the problem, and that I was wanting too much. I hadn’t really had any hobbies aside from exercising and taking care of my kids and my ex husband would always put me down when I got excited about something. It took until I went to counseling the second time to realize that he was trying to keep me small. I wasn’t the problem, what I was wanting was the base minimum for a marriage. Self development was what allowed me to leave and build the life I wanted.

Managing Boundaries With Clients

Something I struggled with a lot as a new VA was that I was addicted to people pleasing. Maybe that sounds familiar. I’m in recovery now and it’s better, but I had to learn some hard lessons to get there.

Something I often see with my Rock Solid Academy clients is that the clients they land don’t really understand what to do with a VA and aren’t really ready for one. Your job is to complete tasks delegated to you… you are not a business coach.

Sometimes clients don’t understand that the processes you’re setting in place now won’t really show results for 6 weeks. Clients need to be educated on what you’ll be doing, how long results will take, and what they need to be doing to put the rest of the puzzle together.

Sometimes you’ll have to have the hard conversations so that your clients really understand the scope of your work. Your job as a virtual assistant is not to do all the market research and revamp their marketing strategy. If they don’t have a solid system set up already, they need a business coach, not a VA.

How To Market Yourself

This is probably my favorite thing I do in my business. Get ready to take some notes!

One thing I hear a lot is, “I’m a brand new virtual assistant. Who’s going to want to hire me?” The trick is that you have transferable skills from previous jobs and those count. Don’t say you’re a brand new VA - say you’ve been doing VA tasks for the last 10 or whatever years, and have recently decided to go out on your own.

When you showcase work for your first client, talk about their journey. Don’t say they’re your only client, though - say it’s for one of your clients.

Give business tips. Do a behind-the-scenes walking through something you’ve done for a client. Give them a shout out, make them feel special, create that FOMO, and show that there are people that have trusted working with you. Your ideal clients are watching what you’re doing.

Use your work as content. Use questions and objections you get in the DMs for your content. Jot down notes whenever you have an idea. Go back and look at your most popular posts, the ones that got the most interaction, and rework it and reuse it.

I also really recommend you find some books or podcasts to listen to about professional development and mindset. Not only will it help you, but it’ll give you some great ideas for posts.

It’s not enough to just show up and post occasionally and expect ideal clients to fall into your lap. There are some myths around content creation that I’m going to bust today.

The post itself isn’t going to do all the work for you. You will still need to put in the work, build that rapport, and get to know any leads that come in. You also need to show up consistently in order to get in front of people, and batching content is a great way to streamline that process.

Yes, you will be talking about the same stuff all the time. That’s strategic. No one is paying attention to all of your posts, and there’s research that says that it takes 7-12 times for someone to see your offer before it really sinks in.

What You're Doing Wrong (And Right) In DMs - Descript

I’m sure you know that a lot of selling goes down in the direct messages, so are you saying the right things to land clients? A lot of it comes down to the confidence piece. If you haven’t really nailed down what your offer is, who you help, and how you can help them, how can you hold a conversation with them?

If you’re messaging some leads but they’re not getting back to you, are they really quality leads? And, are you talking to enough people? Does your message sound desperate? Are you showing confidence in your own skills and asking the hard questions? Are you signing people that don’t vibe with you and making yourself miserable? Let’s fix it!

Whatever actions you implement now, it will take a good 6 weeks before you see results. None of this happens overnight. You have to be patient and consistent. Having a coach to help while you find your footing and to walk you through your DM process will be incredibly helpful.

Money Mindset Isn’t Just Woo-woo

I know this is one of those topics that everybody in the entrepreneurial space is talking about and you may be rolling your eyes at it coming up again. But, it’s true and there’s scientific backing: if your mindset isn’t where it needs to be, you won’t get where you want to go. Period.

First, I recommend some books about it if you’re ready to make some shifts.

We still hear it all the time, and I used to say it to myself, to charge your worth. The problem with that is if you’re comparing that to a typical hourly job, you’ll be seriously undercharging and setting yourself up for burnout. Instead, I teach my clients to charge the amount equal to the value that you are giving your clients. Subconsciously, we’re going to care more about the clients that pay us more than the ones that pay us less.

Another part of this is that if you’re charging less to get more clients, you’re going to be constantly working for not nearly enough profit, and the work you do will be of lower quality because there’s just so much of it. Go raise your rates! If there are current clients that can’t continue with the new rate, love and release them. It’s okay.

Creating Your Offer With Confidence

Another thing I see a lot of business owners doing is overwhelming their audience. I spoke with a couple of different podcast producers to start my podcast and after a casual inquiry, one of them sent me a huge wall of text that overwhelmed me so much that I didn’t even read it. I ended up ghosting her… oops.

Are you trying to prove yourself by sending out way too much information? Is that working, or are you just overwhelming them? Are they sensing the desperation and steering clear?

Think about the majority of your ideal clients. You don’t have to give them every single nugget of information you’ve ever found. When doing your market research, what do 80% of them need? You don’t need to cater to 100% of the people you talk to. You don’t need to be a jack-of-all-trades.

What you need to do is envision yourself reaching the next small goal, and really believe in it. Don’t think too big and overwhelm yourself, but focus on taking the next believable action and really go for it!

The anniversary of the day I invested in my VA coach just popped up on my memories the other day and I wanted to share my feelings about that with you. I had struggled on my own for 18 months as a mom needing 2 full time incomes to make ends meet. I didn’t know what an ideal client was. I was emailing local small businesses, getting very few responses, small contracts and low rates. I was playing it safe, but it wasn’t working.

I finally took the leap of faith and invested in my coach because I saw the success she was having and I wanted that for myself. I did my time struggling on my own and something had to change. I worked my ass off to save up all my PTO to be able to take 10 weeks of maternity leave with my 2nd child, and I wasn’t about to go back to a 9-5 after that.

Yes, you’re going to have to work hard. Yes, you’re going to be tired. Yes, there will be sacrifices, but think of the goal! Where do you want to be 1 year from now? What will it take for you to go all out?

Getting Your First Client

That’s the big question, right? Where can I find clients? What should onboarding look like? Don’t I need a fancy welcome packet?

You’re probably overthinking it.

Show up, and make connections. You need to actually reach out and talk to your ideal clients.
Show up consistently for your business, and the people watching you will believe that you will show up consistently in their business too.
Show up to DMs and sales calls with an abundance mindset, not a scarcity mindset. People can smell desperation a mile away. Unplug for a day or 2 if you need to, if you’re feeling super frustrated with your lead gen. Your business will still be there.
Feel confident in what you’re doing. If you don’t feel confident yet, what can you do to build yourself up?

Living For Yourself, Not For Others

When I was younger, I didn’t realize how much of my life I was living for other people. It wasn’t so much that I cared what others thought of me, but I wanted my parents to be proud and I wanted to fit in with my friends. Throughout my entire twenties, everything I did was to please the people around me.

Life is a journey. Entrepreneurship is a journey. There will be ups and downs and life will happen regardless, but it’s up to you to decide what that looks like. What makes you happy? What do you really want and are you willing to sacrifice something to make it happen?

My ideal clients are willing to step outside of their comfort zone, and to sacrifice some pride and some time. At the same time, success is great, but are you happy?

Shifting Into Success

Welcome to season 2! Before we dive in, grab a pen and paper. Write out every single reason why you think you won’t be successful as a virtual assistant.

I’ve heard it all before. I wrote down the same things when I was getting started too. Those fears mess with your mindset, and your brain turns that into self-sabotage. Those thoughts are valid, but they’re not helping you!

Now on that same paper, write your money goal for the month. No ceiling, no limits. Write it on a sticky note and put it somewhere you’re going to see it. Change your phone password to the income you want. Get used to seeing that number everywhere. It won’t happen overnight, but if you don’t give up, you’ll get there.

If you’re not seeing the results you want, are you showing up and doing all of the work? Are you taking every single step your coach has asked? Are you coachable? Are you putting the excuses aside? If life gets in the way, are you still finding ways to be consistent?

Don’t allow instant gratification to keep you from reaching your big goals. Your journey is yours alone, and you can never truly compare it to anyone else’s. Turn your negative what-ifs into positives.

In discovery calls, it’s less about the skillset and more about making sure that person vibes and you understand each other’s goals.
If I don’t jump now, I’m never going to do it.
When it feels like it’s time to shift or pivot, what’s the worst that could happen?
To get started, it may work better to follow the profit while you do the market research needed to follow your passion later on.
Know the value you bring and your clients will see that too.
If someone expects you to show up in a different way than what feels best to you, that’s not your person.

Don’t let the lack of “skill set” stop you. What’s important is showing up as yourself, confident in your ability to figure it out, and finding people that vibe with you and your goals.

Showing Authority Through Your Content

Do your market research - use their words!
Build your brand pillars: your ideal client’s common interests, the skill set they need, and specific client goals
When posting, tell them what they need to be doing, but lead them back to why they need to hire you to do it
Give tips and tricks and be super specific to their self-reported issues
Put your “I Help” statement into your IG bio!
Sell them on what they want, but show them what they need.

Finding the Time In Your Business

I get asked all the time how to balance starting a virtual assistant business, balancing a 9-5, and still handle your life. There are some common misconceptions out there that in order to start a business you have to be on social media 100% of the time, doing all this busy work. If it’s not a money-making task, you don’t have to do it!

Here are some ways that you can carve out the time to get your business off the ground.

Automate as much as you can. Schedule a welcome email sequence for onboarding, for example. Set it and forget it!
Schedule in your non-negotiables and prioritize those.
Don’t waste your time on a cutesy welcoming packet or rebuilding your website for the 13th time when you don’t have clients yet!
Once you have the income, then you can work on your big dreams without being stressed about it.
Your calendar doesn’t have to be open to everyone whenever they want.
Sitting at your desk for 8 hours doesn’t guarantee productivity. Try a productivity timer app like Focus Keeper and see how scheduled breaks can help.
Where are those little time cracks where you can get a couple things done? Can you batch out some content on the weekends?

Remember, the key is consistency, even if that’s only 30 minutes a day. It’s possible for you!

Money Versus Time

When someone comes at you with objections, there are some things you should do:

Validate their beliefs. They want to feel seen, understood, and heard.
Debunk the myths.
Dig deep into their goals, peel back the layers, and ask why they’re looking to outsource.

The Price of Not Investing

Don’t be fooled by all the gurus out there: there’s no one way to have success in your business. You don’t have to have a portfolio or a resume.

If you choose not to invest in your business, then you’re choosing to spend your time rather than your money. It’s your choice, but if you want better results faster, hire a coach. A pre-packaged passive course won’t be the one-size-fits-all solution for everyone. Free information without support and implementation won’t get you where you want to be.

Where do you want to be in the next 3, 6, or 12 months? Do you want to still be struggling trying to DIY your business or do you want to be booked out, with consistent $5k months?

Can you keep living the way you are right now? Can you afford to?

My secret sauce starts with the 3 Cs:

Client - Who is your ideal client?

Clarity - What are you going to offer?

Consistency - Get a strategy in place.

There are lots of different things that go into landing clients. If I could just send you a quick voice memo with everything you needed to know, I’d be out of a job.

That said, here are my top tips that I teach my clients:

Just show up and make connections.
Pick one social media platform to focus on, one where your ideal clients hang out, and show up consistently.
Everything is an opportunity to learn. Look at what is working and repeat that process. Offer sales calls.
Give value first. See people as actual people rather than a dollar sign.
More isn’t always better. Desperation and over-availability repels people.

Finding Your Sweet Spot

I know we hear it all the time. You need to niche down because if you’re talking to everybody, you’re talking to nobody.

What you need to know is who you need to be talking to. Have an actual conversation with your ideal client. Market research is really just having conversations! Peel back the layers, get really curious, and ask lots of questions.

Learn their Fears, Pains, and Goals so you can build up the trust with them. As a new Virtual Assistant, a new business owner, yes you should niche down, but not too far. Narrow down who you work with or your skillset, not both right off the bat. If your audience is on the small side, you don’t have to turn down someone who is outside of your specific ideal client if they are a good fit for you.

Your niche isn’t set in stone. Your ideal clients may shift. What’s important is that you do the market research now and learn the ins and outs, then provide the best value you can.

Mistakes Were Made

When I first started my business, I tried for a year and a half to figure it all out myself. I emailed small local businesses, went on Upwork, applied for jobs, and was still making less than $1000 a month.

I had 2 options. I could apply for 9-5s, or I could really figure this out. I found another virtual assistant and asked her how she was able to be successful, and she recommended hiring a VA coach. I didn’t have the money to invest. We had been living paycheck-to-paycheck, savings were drained, and all I could do was cash in my IRA to come up with the first payment. Within 3 weeks, I had made back enough money to pay for the program in full.

It’s possible for you, too. Is it guaranteed for everybody? No. But, if you show up, do the work, and follow the steps, you will have success. Sometimes there really isn’t enough money to invest, but more often than not, it’s because people are scared. That’s normal. Our brains are wired to keep us safe, and trying new things doesn’t feel safe. It’s time to be brave!

If you had told me 4 ½ years ago that I could leave my 9-5 and more than replace my income, I wouldn’t have believed you. I’m Jade and I’m a virtual assistant coach helping women drop out of corporate and build their own virtual assistant businesses from home.

My mission with this podcast is to inspire you that you can have all the things you want. This is your permission slip to do whatever it is that gets you out of bed in the morning.

I’m nobody special. I grew up in a tiny rural town, with a fun childhood, but I’m not famous and I don’t come from money. What does stand out for me is my drive and motivation.

I know there are so many of you listening right now thinking that you’re stuck, that you HAVE to have a paycheck and insurance benefits. I was there too. My “aha” moment came when I was back to work for only 3 days and my 10-week-old son came down with RSV at daycare. I felt like a horrible mom and a horrible employee and I put in my notice shortly after.

It’s time to shift out of thinking that you’re stuck, that an MLM side hustle is the only way, feeling that you’re out of control of your financial future. I want to show you that it’s not as hard as you think.
